In mid-size companies, no tool is as omnipresent as Microsoft Excel. Especially Excel timesheets.

According to a study by Capterra, Excel or Excel templates are the undisputed number one tool used by medium-sized companies. This is shocking, haven’t we all come along an Excel sheet that was used as a timesheet at some point in our work life?

When it comes to time and attendance tracking, I personally have repeatedly come across complex Excel wallpapers that had to be maintained in colorful rows and columns and constantly kept up to date. This form of logging via Excel or upstream on timesheets is more than time-consuming, extremely error-prone and, above all, extremely non-transparent.

The goal of such spreadsheets is usually to consolidate and process paper-based processes such as vacation requests and timesheets as well as shift schedules in some way. But is Excel really the best alternative for this? Many mid-market companies now know that there is a better alternative to time and attendance. And especially currently, after the ECJ’s decision to make time recording mandatory, this topic is gaining in explosiveness.

Example how Excel timesheets are usually used

To illustrate what manually managed processes using timesheets and Excel mean for the day-to-day business of a medium-sized company, I’ll show you a small practical example that I personally encountered in a medium-sized production company: 

50 employees from a publishing house record their hours by hand on a timesheet for each individual hour worked. The result is that precisely these manual timesheets are often submitted late. In extreme cases, the time sheets cannot be retrieved at all. This in turn leads to delays in payroll accounting because the data must be gathered from all the templates and timesheets must be transferred to Microsoft Excel by hand. In the next step, the recorded times are transferred to the payroll system by the same person. Inquiries in the event of ambiguities regarding hours worked or overtime once again increase the administrative effort exponentially, and in case of doubt, the wage for the hours worked arrives late in the employee’s account.

This leads to bad moods on the part of the employees and the company has to complain about a high fluctuation of its skilled workers.
